As the use of Artificial Intelligence (AI) increasingly becomes part of everyday work routines, we want to take a moment to share best practices in data security, and to remind you about our NDA and Confidentiality Agreement…

 A quick summary of the Agreement that you signed as our business partner:

• Confidential Information means all information relating to Summit Racing Equipment/AutoSales, Inc., or its products, business, services, finances (including pricing, costs, margins and revenues), marketing or strategic plans, methods of operation, procedures, product and packaging formulae, prospective and existing contracts and other business arrangements, and the identity of customers and suppliers. This includes all information provided to you through reporting on the B2B Website.
• Confidential Information is shared with you for the purpose of completing a transaction and it is only to be used by those who need to know it to complete the transaction.
• You have an obligation to preserve and protect Confidential Information from disclosure by exercising the same degree of care that you would use to protect your own confidential information, to prevent unauthorized use, dissemination, or publication.

How this relates to the use of AI:

Large Language Model (LLM) AI Tools learn from the data that you enter. They are trained to intake large amounts of data to understand and process it and then return human language results.

Putting documents, emails, meeting notes, or contracts into an AI Tool like this can help you work more efficiently, build summaries, and even create fully featured reports and presentations. But it can also leave the data you put into it exposed to the public.

• If you are using a public or unsecured AI Tool, it is learning the data that you put into it so that it can provide better responses…to anyone who asks.

• Putting confidential data into a public or unsecured AI Tool is like sharing that information with the world.

• Your personal ChatGPT, Claude, or other AI account may be feeding a publicly accessed resource. Ask models not to train on your data.
  

Never enter Summit Racing Equipment’s Confidential Information or communications into a public or unsecured AI Tool. This includes vendor communications, branded information that is not publicly available, copyrighted materials, and personally identifiable information. Basically, if you might teach an AI model information about Summit Racing Equipment or any of its entities, do not enter it. Doing so is considered a breach of the Agreement that you signed, and you will be held accountable for information that is learned by an LLM due to misuse.   

The safest AI solution is a secure/closed-loop AI Tool that is hosted within your company’s environment and is backed by your security standards and methodologies. That is the solution that we use to safeguard the privacy of your data and ours. Team members are prohibited from entering company data, including your information, into a public or unsecured AI Tool.  

Takeaway: If you would not post the information online or share it with your competitor, do not put it into an unsecured AI Tool.
